BOOKING AGREEMENT & SESSION INFORMATION

These Terms and Conditions apply to all photography sessions booked with Sadie York Photography ("I", "me", "my", "the photographer"). By booking a session and paying the session fee, you ("the client") confirm that you have read, understood and agree to these Terms and Conditions. When you are ready to book, you will receive a link to an online version of this agreement for digital signature.

I reserve the right to update these Terms and Conditions from time to time. Any changes will not affect bookings already confirmed unless required by law.

GENERAL

These Terms and Conditions form the entire agreement between Sadie York Photography and the client in relation to the photography services provided.

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

In the unlikely event of a dispute, both parties agree to make every reasonable effort to resolve the matter amicably before pursuing formal action.

ANIMAL WELFARE

The welfare, comfort and safety of every animal is my highest priority. I reserve the right to refuse, pause or discontinue a session if, in my professional opinion, continuing would compromise the welfare or safety of any animal or person. No photograph is ever worth risking an animal's welfare or safety.

DURING YOUR SESSION

Every companion animal is different, and sessions are tailored to suit their individual personality, confidence and energy levels. Frequent breaks are welcomed where needed, particularly for puppies and seniors. I may adjust the planned session, poses or location if I believe it will create a safer, calmer or more enjoyable experience for everyone involved.

CLIENT RESPONSIBILITIES

The client remains responsible for the behaviour and welfare of their pet(s) throughout the session. Dogs must remain on lead unless - the location permits dogs off lead, and the photographer agrees it is safe to do so.

The photographer accepts no responsibility for injury, illness, loss or damage caused by any pet during the session.

Children attending the session must always remain under the supervision of a responsible adult.

RAINBOW BRIDGE SESSIONS

Rainbow Bridge sessions are arranged with compassion and flexibility. If your pet's condition changes before your booked session, please contact me as soon as possible. I will always do my best to bring your session forward where availability allows.

If your beloved companion passes away before the scheduled session takes place, your session fee may be transferred to either a remembrance photography session, or another Sadie York Photography session, provided this is arranged within 12 months.

COPYRIGHT & PERSONAL USE

All photographs remain the copyright of Sadie York Photography in accordance with the Copyright, Designs and Patents Act 1988.

Purchased images include a Personal Use Licence.

This allows you to:

• display photographs in your home,

• print your purchased images,

• share images on your personal social media accounts or personal websites.

Images must not be:

• altered, edited, filtered or manipulated,

• used for commercial purposes,

• entered into competitions or submitted for publication without prior written permission.

When sharing images online, I would be incredibly grateful if you could credit Sadie York Photography wherever reasonably possible.

BOOKING & SESSION FEES

Your photography session is confirmed only once the session fee has been paid in full.

The session fee covers:

• planning your session

• photographer's time

• travel (where applicable)

• photography experience

Session fees are non-refundable.

Photography sessions must take place within twelve months of the booking date unless otherwise agreed in writing.

PRICES & PAYMENTS

Prices are fixed at the time of booking.

If a client chooses to postpone a session beyond the agreed booking, current pricing at the time of the new booking may apply.

Full payment for image collections and products is required before final delivery unless otherwise agreed.

All payments must be made in advance via bank transfer/ invoice unless otherwise agreed.

Prices advertised on my website or social media may change without notice for future bookings.

RESCHEDULING, CANCELLATIONS & REFUNDS

I completely understand that unexpected situations happen. Please let me know as soon as possible if you need to rearrange your session.

• More than 48 hours' notice

I will happily work with you to find another suitable date, subject to availability.

• Less than 48 hours' notice

I reserve the right to refuse a postponement where insufficient notice has been given without a genuine unforeseen circumstance.

If a replacement date cannot be agreed, or a rearranged session is missed, the session fee will be forfeited.

Session fees, gift vouchers and gift certificates are non-refundable.

WEATHER

Outdoor photography depends on suitable conditions. The decision to postpone due to weather rests solely with the photographer.

Sessions may be rearranged where weather conditions would compromise:

• image quality

• client comfort

• animal welfare

This includes, but is not limited to:

• heavy rain

• extreme heat

• icy conditions

• strong winds

• unsafe environmental conditions

Where possible, an alternative location or date will be offered at no additional charge.

HEALTH & SAFETY

If you or your pet is suffering from an infectious illness, please let me know as soon as possible so that your session can be rearranged.

This helps protect other clients, pets and members of the public.

SESSION TIMING

Please arrive on time for your session and inform me as soon as possible if you expect to be late.

• If you arrive up to 15 minutes late, session time may be reduced.

• If you arrive more than 15 minutes late, the session may be cancelled without refund or re-shoot.

LOCATIONS

If a client requests a specific location, it is the client's responsibility to ensure that dogs are permitted there and that photography is allowed where applicable.

Any parking charges or location entry fees remain the client's responsibility unless otherwise agreed.

CREATIVE LICENCE

By booking a session, you grant the photographer full creative discretion over:

• shooting style,

• image selection,

• editing style and delivery.

The photographer’s style reflects the portfolio and examples displayed on the website and social media.

RAW files and unedited images are never supplied. Requests to significantly alter my editing style or provide original files will respectfully be declined.

There is no guaranteed minimum or maximum number of images. Image selection and editing decisions are at the photographer’s discretion, with priority given to quality and variety.

SPECIAL IMAGE REQUESTS

You're very welcome to discuss any specific photographs you'd love before your session. I will always do my very best to capture them where possible. However, because animals are beautifully unpredictable, specific poses, expressions, eye contact or behaviours cannot be guaranteed.

Any request considered unsafe will be refused.

IMAGE STORAGE & BACKUP

Your online gallery will remain available for 30 days unless otherwise stated. Please download your purchased photographs promptly.

Edited photographs will be archived by Sadie York Photography for one month following delivery, after which they may be permanently deleted.

Once your photographs have been delivered, it becomes your responsibility to back them up safely.

Sadie York Photography cannot be held responsible for image loss or damage after delivery.

PRINT QUALITY

I take great care editing photographs to achieve accurate colour and quality. For the best results, I recommend ordering professional prints through Sadie York Photography or my recommended print laboratory.

I cannot guarantee the colour accuracy or print quality of products produced by third-party printing companies.

LIABILITY

In the unlikely event of equipment failure, image loss prior to delivery, illness, accident or circumstances beyond my reasonable control, my liability shall be limited to a full refund of monies paid.

Sadie York Photography shall not be liable for delays or failure to perform services due to circumstances beyond reasonable control, including but not limited to severe weather, transport disruption, accidents, illness or acts of God.

Nothing within these Terms excludes or limits liability where doing so would be unlawful.

MARKETING PERMISSION & GDPR

Your privacy is extremely important to me.

Photographs featuring animals/ pets only are generally not considered personal data.

Where images include identifiable people, I will always ask for your permission before using them for:

• my website

• social media

• printed marketing

• photography competitions

• educational or promotional material

Providing consent is entirely optional and is never a condition of booking.

I will never publish surnames, full addresses or other sensitive personal information alongside your photographs.
